How Beetl handles account, workspace, and service information.

Beetl is responsible for account, security, billing, support and service-operations information. A customer organisation is normally responsible for the workspace content and people it chooses to manage in Beetl, while Beetl handles that information on the customer's instructions. The approved legal entity and address appear at the top of this notice.
We process account details, verified email addresses, organisation membership and invitation data, article and knowledgebase content, support or deletion requests, session data, and limited usage analytics such as article views, search events, feedback, and AI questions.
Most information comes directly from you or from the organisation that invites and manages you. Enabled identity providers, connectors and email services may provide bounded account, source-document or delivery information when the customer asks Beetl to use them.
We use the data to create and secure accounts, run each workspace, deliver requested notifications and support, provide search and enabled AI features, understand service reliability and usage, and maintain audit and security records. Beetl does not currently sell personal information or use workspace content for advertising.
Account, authentication and core workspace information is required to provide Beetl; without it, we cannot create or operate the account. Optional information is labelled when requested. Optional marketing or advertising consent is not part of accepting these terms and, if introduced, must be requested separately.
Depending on the activity and the law that applies, processing is necessary to perform the service contract, meet legal duties, protect the legitimate interests of Beetl or its customers, or act on specific consent. Consent is used only where a genuine choice is available and can be withdrawn.
We share data only with service providers needed to operate the platform, such as hosting, database, email, and storage providers, and with workspace members authorised by the organisation.
The production hosting region, provider locations and any cross-border transfer safeguards must be stated in the customer agreement and current subprocessor register. Where a transfer occurs, Beetl must use a lawful transfer ground and appropriate contractual or legal protection.
Sign-in sessions expire after 7 days. The default periods are 365 days for privacy-reduced analytics, 730 days for article feedback and 90 days for stored AI questions. Customer content and support conversations follow the customer-account lifecycle until export or deletion, subject to an agreed cooling-off period, backup schedule and any legal retention duty. The customer agreement must state any different production periods.
Depending on your location and the circumstances, you may ask whether we hold your information, request access, correction or deletion, object to certain processing, restrict processing, or ask for portable data. Use the privacy contact shown in this notice. Workspace owners can also prepare an export or request deletion for an organisation.
Please contact Beetl's privacy contact first so we can try to resolve the issue. In South Africa, you may also complain to the Information Regulator through its eServices portal or at POPIAComplaints@inforegulator.org.za. You may also complain to another privacy authority that has jurisdiction where you live or work.
We use access controls, tenant scoping, audit logs, and technical safeguards, but no online service can guarantee perfect security.
Beetl's AI features create drafts, answers or recommendations for people to review. Beetl does not currently use solely automated decisions that produce legal or similarly significant effects for account users.
If this notice changes materially, Beetl will publish a new version and ask signed-in users to acknowledge the new version before continuing.
